Company Profile: Salem Peabody Oral Surgery is a 50-year-old oral and maxillofacial surgery practice. Their state-of-the-art facilities include 15 consultation and operating rooms.

Business Issues: Salem Peabody Oral Surgery principals recognized that to retain their position as a leader in their field, they needed an IT partner with the expertise to guide and support them in their transition to more modern technology. Having multiple locations, they also had a critical need to manage patient medical and insurance records centrally in an efficient and secure manner.

The practice had used a small, traditional IT provider that was located a great distance away and had increasing difficulty delivering and supporting current technologies. Consequently, the practice encountered a number of problems, including security, aging hardware and software, a lack of a cohesive strategic technology plan, slow network links, and inefficient manual processes.

The practice reached a critical point when a computer virus outbreak destroyed data and severely affected user productivity. While the practice had had a backup system, they discovered it had not functioned properly, and there was no way to restore the lost data.

Solution: MicroData replaced the legacy environment and deployed a network built around Hewlett Packard ProLiant server technology, coupled with Windows Small Business Server 2003. Additionally, MicroData deployed a Terminal Server environment, secured by Microsoft’s ISA Server. We created a permanent SSL VPN tunnel to link all three offices for remote printing capability. New client desktop computers running Windows XP and Microsoft Office were deployed, and email was facilitated using Exchange Server. MicroData also deployed new infrastructure wiring and HP ProCurve switches and wireless access points.

This fully integrated solution provided everything the practice required to operate securely and reliably. Further, the solutions offered scalability to permit the technology to keep pace with the practice’s growth.

Change in Situation: “We determined that with our growing oral surgery practice we wanted to focus on our day-to-day procedures and not have to spend time on computer maintenance,” said Chris Murtagh, office manager. “We wanted someone who would take that issue from us altogether. We wanted a company that would be able to handle our computer issues and be close by should emergencies arise. MicroData was referred to us by another doctor who works in our building.

“We have not had any potential threats, and our systems have been running great! We have expanded to multiple locations and have increased our network to 38 computers and three servers. The systems are maintained and kept up to date; backups are performed nightly and stored for us. Issues are handled almost immediately, and MicroData provides great communication with me on a monthly basis as to what is going on with each and every computer. It has allowed us to do what we do best – oral surgery with no worries about our IT environment.
